Your Sim will spend some time compiling all their material for their presentation onto the board. When they’ve finished, they will have a poor quality presentation board.

If the option is greyed out you can hover over it to see the hours during which you can do that. I think I clicked on the board while it was in my Sim's inventory to 'give presentation'.
